Accessing TCS in Employee Self-Service (ESS)

This feature is available to all active employees who have worked on a TCS. Employees can generate a TCS for any academic term once it has been processed by Human Resources.

Note: Adjunct faculty who no longer have an active assignment will lose access to Employee Self-Service (ESS) 90 days after their most recent assignment has concluded.

Instructions

  1. Log into Employee Self-Service.
  2. On the main landing page, select the tile Employee Information.
  3. On the left-side menu, select Print My TCS.
  4. Select the semester/term of the TCS from the drop-down menu, then click the Generate and View Notification button.
    • Note: The system may take 15 to 20 seconds to generate the TCS. If you are unable to view the PDF after generating the TCS, you may need to modify the pop-up blocker settings on your web browser.
  5. The TCS is generated as a PDF and opens in a pop-up window.

Email Notifications

  • Employees will receive an email notification when a TCS is finalized (hired, revised, or canceled). The notifications will come from noreply@losrios.edu.
  • Emails are sent periodically as TCS records are updated.

Managing Pop-Up Blockers

To access your TCS as a PDF through Employee Self-Service, you will need to allow pop-ups through your web browser. If you are unable to access your TCS PDF once generated, you may need to adjust the settings for pop-ups on your browser.

  • Google Chrome: Look at the right side of your address bar for a small icon with a red X over a window. Click it, select the link for the document you want to open, and choose Always allow pop-ups and redirects from....
  • Mozilla Firefox: Click the yellow warning bar that appears below the address bar, or click the shield icon next to the URL; go to Pop-up Blocker, and click Allow.
  • Apple Safari: Safari usually plays a sound or shows a notification. Click Safari in the top menu bar, then choose Settings (or Preferences). Click the Websites tab at the top of the window. Scroll down the left sidebar and click Pop-up Windows. Use the drop-down menu next to specific websites to Block, Allow, or choose Block and Notify.
  • Microsoft Edge: Look for the blocked pop-up icon in the URL bar (looks like a window with a red badge), click it, and select Always allow.

Frequently Asked Questions

Why isn’t the TCS for my new assignment in ESS yet?

Your TCS may still be in process at the campus Instruction Office or awaiting processing by Human Resources. Once the TCS has been processed by Human Resources for your upcoming assignment, you will receive an automated email notification from noreply@losrios.edu informing you that it is available to view in ESS.

Why can’t I find the Print My TCS option when I log on to ESS?

Employee Self Service (ESS) is available to regular employees and adjunct employees who have had an active assignment within the last 90 days. If you have had a break in service and are unable to access this feature in ESS, it is likely because your new TCS assignment has not yet been processed by Human Resources, so you don’t have access to this feature.

If you haven’t had a break in service between assignments for more than 90 days and you can’t see the Print My TCS option, please contact Human Resources at hr-ptfaculty@losrios.edu.

I clicked “Generate and View Notification”, but my TCS isn’t appearing. How do I find it?

You may have a pop-up blocker set up on your browser that prevents you from downloading your TCS. Refer to the Managing Pop-Up Blockers section of this page for more information.

I can’t access my TCSs from before 1999. How do I find them?

Employees can only access TCSs that were created in the PeopleSoft system. Please contact your campus Instruction Office or Human Resources for record of TCSs prior to that time.

What if I want past versions of a revised or canceled TCS?

The system will only show the most current version of your TCS. Past versions can be obtained from your campus Instruction Office or Human Resources.

I don’t think the information on my TCS is correct. Who should I contact?

Contact your division office or the campus Instruction Office.

Can I access other assignments, such as an ESA or PEX?

At this time, the system only generates TCSs for adjunct, overload, and academic summer (SSI) assignments.

I’ve followed the instructions and reviewed the FAQs, but I’m still having problems. What should I do?

Complete a PeopleSoft Issue form in Service Central. The Employee Center and IT will look into the issue.
